JOB CONTEXT
• To perform the full secretarial function for the Managing Director.
• To arrange all Travel requirements for office (and MD’s family when necessary)
• To attend to all building maintenance with the landlord
• To perform any other duties that may fall within this scope or may be deemed necessary by the MD
• Hours 9:00 to 18.00hrs
• To fully correspond in French and English
KEY RESULTS
Secretarial
• Attend to all correspondence with Paris including telephonic & e-mail communications
• Relaying important information to MD when away on business trip or on holiday
• Screen all external calls to MD
• Re-type legal correspondence
• Co-ordinate and file all external e-mail
• French/English non-technical translations
• MD’s private matters when necessary
Travel Arrangements
• Arrange all business trip bookings with travel agents, maintain records and file all documentation & signed authorizations
• Apply for all visa’s, passports and permits etc from Consulates and Home Affairs
• Arrange hotel & car hire bookings for foreign visitors (flight arrangements when necessary)
• Request from travel agency monthly expense statistics per individual traveling staff member
• Research convenient software for record keeping of staff travel arrangements
• Control and file Voyager Miles statements for MD & family
• Arrange travel, hotel and car hire for other staff members of TGZ
Office
• Update the company’s internet webpage
• Ensure mail collection daily, open and attend to all correspondence
• Organize MD’s diary
• Record and attend to personal faxes from MD’s fax machine
Other
• Regular update of contacts database
• News clips from daily paper and internet on oil and LPG industry
